1. Cancellations and Transfers
1.1. Cancellation Notice Requirements
All cancellation requests must be submitted in writing no later than thirty (30) days prior to the first day of the conference. Cancellation requests received within this timeframe will not be eligible for a refund but may qualify for a transfer option as described below.
1.2. Transfer Options for Timely Cancellations
Upon cancellation received within the required timeframe, the registrant has the following options without incurring any penalty or transfer fee:
- The registration may be transferred to another in-person event scheduled to take place on or before December 31, 2027.
- The registration may be transferred to any livestream event.
1.3. Cancellations After the 30-Day Deadline
Cancellations submitted after the thirty (30) day deadline are subject to the following conditions:
- Registrations may still be transferred to another in-person event scheduled on or before December 31, 2027, subject to a transfer fee of seventy-five dollars ($75.00).
- Alternatively, registrants may transfer their registration to a livestream event.
1.4. No Refund Policy
There are no refunds for cancellations under any circumstances. A medical emergency can be handled on a case-by-case basis.
1.5. Transfer to Another Individual
Registrants may transfer their registration to another individual, provided the new participant completes the registration process independently. Please contact us at support@fitnessfest.org for further instructions and assistance.
2. General Provisions
2.1. Limitation Waiver
In consideration of being allowed to participate in activities as part of the FitnessFest 2026 Conference, held by Waterworks On Wheels, Inc. (DBA FitnessFest), I do hereby waive, release and forever discharge Waterworks On Wheels, Inc. and Ability360 and their officers, agents, employees, representatives, executors and all others from any and all responsibilities or liability for injuries or damages resulting from my participation in any activities at this facility/event.
I do also hereby release all of those mentioned and any others acting upon their behalf from any responsibility or liability for any injury or damage to myself out of or connected with my participation in any activities during the FitnessFest 2026 Conference being held April 16-19, 2026 at Ability360 (5031 E. Washington Street Phoenix, AZ 85034).
In addition, I hereby grant permission to FitnessFest to use my photograph, film/video, or voice recording of my involvement for the purposes of publication, promotion, illustration, advertising or other lawful use of media.
2.2. Force Majeure
In the event of circumstances beyond the reasonable control of FitnessFest, including but not limited to natural disasters, pandemics, or government restrictions, FitnessFest reserves the right to modify or cancel events. In such cases, FitnessFest will make reasonable efforts to provide transfer options in line with these Terms and Conditions.
2.3. Amendments
FitnessFest reserves the right to amend these Terms and Conditions at its discretion. Notice of significant changes will be communicated to registrants.
